Lead Inbox

Lead Inbox is a web-based console for running your WhatsApp Business number end to end. Enquiries arrive in one shared inbox already sorted by what the customer is asking for, your team replies straight from the browser, and your message templates are written, submitted for approval and sent without ever leaving the page. Everything is managed in one place, so nobody needs the business phone or a separate Meta tool.

The problem it solves

If your customers reach you on WhatsApp, every enquiry lands on a single phone, and usually in front of a single person. They have to read each message, work out which ones are real leads, and forward them to the right salesperson by hand. At a few messages a day that is manageable. At a few hundred a week it stops working: replies go out late, enquiries reach the wrong person, and some are never answered at all.

Because the conversations live on one device, nobody else can help. Two people cannot answer at the same time, there is no record of who promised what, and if that phone is unavailable the enquiries simply queue. At the end of the week nobody can say how many enquiries came in, what customers were asking for, or which ones never got a reply.

Following up later is harder still. WhatsApp closes the free-form reply window 24 hours after a customer’s last message, so reaching that customer again needs an approved message template, which normally means learning a separate Meta tool. In practice most businesses never get that far, and warm leads go cold because nobody could send a simple follow-up.

Lead Inbox fixes all three. Enquiries arrive in a shared inbox your whole team can see, already sorted, so the right person picks up the right lead straight away. Replies go out from the browser, so the phone is no longer the bottleneck. And templates are written, approved and sent in the same place, so following up is a couple of clicks rather than a project.

How it works

Your customers carry on messaging the same WhatsApp number they always have. Nothing changes for them.

STEP 1 Customer Sends a WhatsApp message asking about a product or a price STEP 2 Your WhatsApp Business number The same number your customers already use STEP 3 Meta Delivers the message to Lead Inbox over a secure connection STEP 4 Lead Inbox Appears instantly in the shared inbox and is sorted for you STEP 5 Your team Replies and follows up on the strongest enquiries first

Every enquiry, read and sorted

Most enquiries contain the same handful of facts buried in ordinary conversation: what the customer wants, how much of it, and what price they have in mind. Lead Inbox reads each incoming message and pulls those details out, so your team can sort and prioritise instead of opening every chat to find out what it was about.

What your team gets

  • One shared inbox. Every conversation on your business number, with its full history, visible to everyone who needs it.
  • Replies from Lead Inbox. Your staff answer customers directly, without passing the phone around.
  • Full template management. Write templates, submit them for approval, track their status and send them, all covered below.
  • A sorted enquiry list. Filter by product or by what the customer wanted, so quotes get answered before general questions.
  • Export to CSV. Take the week’s enquiries into a spreadsheet for your own reporting.

Manage your message templates

WhatsApp only lets a business send a free-form reply for 24 hours after a customer’s last message. After that window closes, the only way to reach that customer again is an approved message template. Templates are therefore not an afterthought, they are how you chase a quote, confirm an order or follow up on a lead that went quiet, and they have to be approved by Meta before you can use them.

Lead Inbox handles that whole lifecycle. You write a template, submit it for approval, watch its status change, and send it into any conversation once approved, without switching to a separate Meta tool.

STEP 1 Write it Give it a name, language and category, then type the message body STEP 2 Submit for approval Lead Inbox sends it to Meta for review on your behalf STEP 3 Track the status Pending, approved or rejected, shown against every template STEP 4 Send it Fill in the values it asks for and send it into any conversation

You can also delete templates you no longer use, and see each one’s category, language and body text at a glance, so you always know what your team is able to send.

Getting started

1 Connect your account You approve access in a secure Meta window. You stay the owner of your WhatsApp Business Account and your number, and you can disconnect at any time. 2 Enquiries start arriving Every message sent to your number appears in Lead Inbox straight away, with the full conversation so nobody has to ask the customer to repeat themselves. 3 Work from one place Your staff read, reply, send approved message templates and follow up, without one person forwarding hundreds of chats to the rest of the team by hand.

Your data stays yours

Each customer’s data is stored separately from every other customer’s, and is used only to provide this service to them. We do not sell it, we do not use it for our own advertising, and we do not share it with anyone other than the hosting and processing providers named in our privacy policy. You can ask us to delete your data at any time, and it is deleted when you disconnect your account.

You remain the owner of your WhatsApp Business Account and your phone number throughout. Connecting Lead Inbox grants us permission to act on your behalf, and revoking it stops that access.
